Key Responsibilities

  1. Answer and redirect incoming phone calls efficiently.
  2. Process all incoming and outgoing mail and deliveries.
  3. Plan and execute office events in collaboration with HR and leadership.
  4. Manage the office access control system, including credentials.
  5. Maintain cleanliness and stock levels in office and kitchen areas.
  6. Prepare and assist with meetings, both virtual and in-person.
  7. Greet and register all office visitors.
  8. Coordinate employee gifting for life events such as marriages or childbirth.
  9. Manage food deliveries during leadership site visits.
  10. Assist with travel bookings and related logistics.
  11. Support internal office communication and announcements.
  12. Ensure office supplies and resources are adequately stocked.
  13. Provide ad-hoc support to different departments as needed.
  14. Uphold information security standards while handling data.
  15. Perform additional duties as required to support employees and office operations.

Required Skills and Knowledge

  1. Proficiency in MS Outlook, Word, PowerPoint, OneNote, and Excel.
  2. Familiarity with collaboration tools like Slack.
  3. Event planning and coordination skills.
  4. Strong organizational and multitasking ability.
  5. Experience with online travel booking platforms.
  6. Ability to handle multiple communication channels effectively.
  7. Positive attitude and professional demeanor.

  9. Flexibility to support a variety of office needs.
  10. Strong interpersonal and communication skills.
  11. Knowledge of access control platforms (preferred).
